What law firms need from an IT provider

A law firm needs an IT provider that keeps attorneys billing and client files confidential at the same time. In practice that means a same-day helpdesk that understands NetDocuments, iManage or Clio, enforced MFA and encryption, backups you have actually restored, and documentation you can show a client, an insurer or a disciplinary board.

The need usually shows up when laptops for lateral hires take days, DMS access outlives departures, and client security questionnaires start arriving. A good provider delivers four things: fast response from someone who knows your matter structure, access that follows your ethical walls, continuity through filing deadlines, and written evidence a client can verify.

Law firms sit inside Network Right's professional services IT practice, alongside accounting and consulting firms with the same confidentiality pressure.

ABA Model Rules on technology: what your ethical duty requires

The ABA Model Rules make technology an ethics issue, not only an IT one. Rule 1.1 Comment 8 requires lawyers to understand "the benefits and risks associated with relevant technology," and Rule 1.6(c) requires "reasonable efforts" to prevent unauthorized access to client information. Formal Opinions 477R and 483 explain what reasonable looks like before and after a breach.

Your state's version of each rule controls, and most states have adopted the technology-competence comment. Here is how the ABA sources translate into IT work:

Source What it says What your IT program needs
Model Rule 1.1, Comment 8 (added 2012) Competence includes keeping abreast of "the benefits and risks associated with relevant technology" A provider who explains your tools and their risks in plain language; annual attorney security training
Model Rule 1.6(c) A lawyer "shall make reasonable efforts to prevent the inadvertent or unauthorized disclosure of, or unauthorized access to, information relating to the representation of a client" MFA, device encryption, access controls in the DMS, secure offboarding, vendor due diligence
ABA Formal Opinion 477R (May 2017) Unencrypted email can suit routine matters, but "particularly strong protective measures, like encryption," are warranted for highly sensitive information or when a client or the law requires them Encrypted email ready to use, and a written rule for when attorneys must use it
ABA Formal Opinion 483 (October 17, 2018) After a breach, lawyers must act reasonably to stop it, restore systems, determine what happened, and notify current clients whose information was involved 24/7 monitoring, an incident response plan, logs that show what was accessed, a notification checklist
NY CLE requirement (effective July 1, 2023) New York attorneys must complete at least 1 CLE credit hour in Cybersecurity, Privacy and Data Protection each biennial cycle Training that counts, plus firm policies attorneys can apply after the course ends

Per the New York State CLE Board, the credit applies to experienced attorneys re-registering and to attorneys newly admitted on or after July 1, 2023.

In the ABA's 2023 Cybersecurity TechReport, 29% of respondents reported a breach at their firm, up from 27% the year before, and 40% said their firm carried cyber liability insurance. A managed IT program gives you the records that show your efforts were reasonable, ready before anyone asks.

What managed IT for law firms includes

Managed IT for law firms covers the helpdesk, every device, the practice software attorneys live in, email security, backups and secure remote access, delivered under one monthly per-user price. Network Right assigns a dedicated IT consultant who learns your matter structure, your key clients' security requirements and your filing calendar.

Helpdesk that speaks legal. Your consultant handles everything from password resets to a corrupted brief in Word. Network Right has handled 100K+ tickets with 99% SLA adherence and a 4.95/5 NPS. Clearbit's COO, Robin Spencer, put it this way: "Network Right anticipates every issue and responds quickly, effectively, and professionally to every request or problem."

Device management. Every laptop and phone is enrolled in Intune, Jamf or Iru (formerly Kandji), encrypted, patched on schedule and remotely wipeable. A phone left in a cab loses its firm data in minutes.

Practice software support. Network Right supports the tools law firms run day to day:

  • Document management: NetDocuments, iManage Work, Worldox
  • Practice management and billing: Clio, PracticePanther, MyCase, Smokeball, Aderant, Elite 3E
  • Productivity: Microsoft 365, Google Workspace, DocuSign, Adobe Acrobat
  • Litigation and research: Relativity and Everlaw access, Westlaw and Lexis+ seat management
  • Dictation and scanning: Dragon Legal, Philips dictation hardware, Fujitsu scanners

We manage the workstation, access and integrations; when the application itself breaks, we work the vendor's support queue for you.

Email security. Filtering, impersonation protection against wire fraud, DMARC, and one-click encrypted send for sensitive matters.

Backup and recovery. Microsoft 365, DMS and laptop backups, with quarterly restore tests on record.

Secure remote access. Conditional access checks the device and the user before client files open from home or court.

Onboarding and offboarding for laterals. A lateral partner arrives to a configured laptop, DMS access to the right matters and ethical walls in place. When someone leaves, secure offboarding for departing staff ends access the same day and the firm keeps the files.

Law firm cybersecurity: protecting client confidentiality

Law firm cybersecurity starts with five controls: MFA on every account, encrypted and managed devices, phishing training, monitored endpoints, and a written incident response plan. The ABA's 2023 Cybersecurity TechReport found only 54% of attorneys had two-factor authentication available, so switching it on is the fastest security win most firms have.

The full program, including threat monitoring and client security questionnaires, is on our cybersecurity for law firms service.

  • MFA everywhere. Email, DMS, billing, remote access and banking. No exceptions for partners.
  • Encryption. FileVault or BitLocker on every laptop, plus encrypted email and backups.
  • Phishing training. Invoice fraud and fake court notices target law firms. Short, regular phishing awareness training with simulations changes behavior faster than an annual slideshow.
  • Endpoint protection. EDR on every device through our endpoint security management service.
  • Incident response. A written plan naming who calls the insurer, who calls the client and who preserves logs, as Formal Opinion 483 expects.

IT support for trial days and court deadlines

Trial days and court deadlines need IT support that is planned in advance. That means equipment checked the week before trial, a named technician on call, after-hours coverage for filing nights, and e-filing tested days ahead, so 11:40 p.m. on the due date is spent filing, not troubleshooting.

  • Filing-night coverage. After-hours support booked in advance, with PACER, NYSCEF and state portals tested from the machines that will file.
  • Trial prep. Laptops, presentation software, adapters and hotspots checked the week before.
  • War rooms. Hotel suites or client conference rooms set up with secure Wi-Fi, printers and DMS access.
  • Local teams. Firms in Manhattan and the boroughs are covered by our IT support in New York City team; Bay Area firms work with the San Francisco office.
  • Onsite when it matters. Include office or war-room support in your trial plan through our onsite IT support service, with dates, access requirements and support hours agreed in advance.

E-discovery runs on IT too. When a litigation hold issues, we stop auto-deletion for the people named, preserve their mailboxes and devices, and log what was kept. Forensic collection goes to a specialist vendor; we make sure the data is there to collect.

Law firm IT packages by firm size

Law firm IT scope scales with headcount (attorneys plus staff), not with the number of partners. Network Right publishes its prices: the Start-up tier is $120 per user per month and the Scale-up tier is $170 per user per month, with Enterprise priced to scope. A 12-person firm on Scale-up pays about $2,040 a month.

Firm size Typical setup Recommended scope
Solo and 2-5 people Microsoft 365 or Google Workspace, Clio or MyCase, laptops, a shared printer Start-up tier: helpdesk, MFA, device encryption, backups, onboarding and offboarding
Small firm, 6-25 people Office network, DMS (NetDocuments or Worldox), billing system, remote access, a few client security questionnaires a year Scale-up tier: adds advanced IT security and advanced networking support
Mid-size firm, 26-150 people Multiple offices, iManage or NetDocuments with ethical walls, lateral hiring, litigation support, cyber insurance renewals Enterprise: adds a dedicated IT projects team, cybersecurity and vCISO, quarterly security audit reports

Headcount includes paralegals, assistants and billing staff, since each needs an account and a managed device. For what other providers charge and how pricing models compare, see our managed IT services pricing guide.

Every tier includes the dedicated consultant, helpdesk, onboarding and offboarding, and SaaS management; the full feature list is on the Network Right pricing page.

For example, an 18-person litigation firm using NetDocuments, Clio and Microsoft 365 might need to meet a client's security requirements before taking on a matter. If MFA is only enabled on email, the work would include extending it to the DMS and billing systems, enrolling and encrypting devices, writing an incident response plan and training staff. The scope and deadline determine the rollout schedule.

How to choose a law firm IT provider: 8-point checklist

Choose a law firm IT provider by testing eight things: legal software experience, response time commitments in the contract, security controls it enforces by default, how it handles offboarding, onsite coverage, pricing transparency, documentation you own, and references from professional services firms. Ask for evidence on each one, not a slide.

  1. Legal software. Which DMS and practice management platforms do they support today?
  2. Response commitments. Response times in writing, by severity, with monthly reports you can check.
  3. Security by default. MFA, encryption and EDR included, not upsold.
  4. Offboarding. Have them walk through the last attorney they offboarded: accounts, devices, DMS access, forwarding rules.
  5. Onsite coverage. Who shows up for a trial or an office move, and how fast.
  6. Published pricing. Per-user rates you can check on a public page.
  7. Documentation you own. Passwords, diagrams and runbooks stay with the firm if you leave.
  8. References. A professional services client of similar size. Network Right customers stay 5+ years on average, and our customer stories from growing companies are public.

Accounting firms face a parallel set of federal rules, which we cover in IT support for accounting firms.

Frequently asked questions

What IT support does a small law firm need?

A small law firm needs a helpdesk that responds the same day, MFA on email and the DMS, encrypted laptops, tested backups, and clean offboarding. Add practice management support (Clio, MyCase) and phishing training. Firms of 2 to 25 people typically fit Network Right's $120 or $170 per-user tier.

Does ABA Model Rule 1.6(c) require encryption?

Not in every case. Rule 1.6(c) requires reasonable efforts to prevent unauthorized access. ABA Formal Opinion 477R says unencrypted email can be acceptable for routine communication, but encryption is warranted for highly sensitive information, when a client requires it, or when law requires it. Device encryption is a low-cost default.

What does ABA Formal Opinion 483 require after a data breach?

Formal Opinion 483, issued October 17, 2018, says lawyers must act reasonably to stop a breach, restore systems, determine what happened and what data was affected, and notify current clients whose confidential information was involved. It also expects firms to monitor their systems and plan their response before an attack.

How many cybersecurity CLE credits do New York lawyers need?

At least 1 CLE credit hour in Cybersecurity, Privacy and Data Protection per biennial cycle. The requirement took effect July 1, 2023, for experienced attorneys re-registering on or after that date and for attorneys newly admitted on or after it, per the New York State CLE Board.

Does Network Right support NetDocuments, iManage and Clio?

Yes. Network Right supports NetDocuments, iManage Work, Worldox, Clio, PracticePanther, MyCase, Smokeball, Aderant, Elite 3E, Microsoft 365, Google Workspace, DocuSign and dictation hardware. We manage workstations, access, integrations and user administration, and work the vendor's support queue for you when the application itself fails.

What does a 12-person law firm pay for managed IT?

About $2,040 a month on Network Right's Scale-up tier, which is $170 per user per month. The Start-up tier is $120 per user, and Enterprise is quoted to scope. Count paralegals, assistants and billing staff as users, since each needs an account and a managed device.

Can you support our firm during trials and filing deadlines?

Share trial dates and filing deadlines early so the support plan can cover equipment checks, e-filing tests, connectivity and escalation contacts. Arrange any after-hours or onsite help in advance, including the hours required and who will be available to assist.

How do you handle a lateral partner joining the firm?

We provision the laptop, Microsoft 365 account, DMS access to the right matters and ethical walls before day one, then migrate files the lateral is permitted to bring. When someone departs, we remove access the same day, collect the device and preserve the mailbox under your retention policy.

Do we still need an IT provider if we use cloud software like Clio?

Yes. Clio secures its own platform, but your firm still controls who logs in, from which devices, with what authentication. Most law firm breaches start with a phished password or an unmanaged laptop, not the vendor. Your provider enforces MFA, device encryption and offboarding around the cloud tools.

What should a law firm incident response plan include?

Name who leads the response, who contacts your cyber insurer, outside counsel and affected clients, how to isolate devices and preserve logs, and how to restore from backup. Formal Opinion 483 expects this planning before an incident. Test the plan once a year with a tabletop exercise.
